How are you! We recently received the complaint about the exhibition Sound System 2011 .I know you have the experience of handling this situation before so i hope you can give me some advices.There are three problems complaints in this exhibition which were unworkable online registration, small venue of the exhibition and the shortage of the leaflets.

Subject: Asking for approval for implementing suggestion for the complaint

Dear Ms Kong,

I am writing to report the complaint about the exhibition Sound System 2011.There are some problems i have stated below and i have make some suggestions to solve it. I am asking for approval for implementing my suggestion.

There are three problems complained in this exhibition.
1. Online registration
The client complained that the online registration system was unworkable. He mentioned that he had tried several hours to register but the computer would not accept his application. We thought that it might be because there were too many people visiting our registration system at the same time. In order to solve this problem, i suggest that we should upgrade our server.
2. Venue of the exhibition
The client complained that the venue was too small to organize this large exhibition. He mentioned that it was serious overcrowding in the venue, especially at peak visiting time. We could not book the other larger venue because they were fully booked in that period. I suggest that we can book early next time to prevent this type of problem.
3. Shortage of the leaflet
The clients mentioned that all the leaflets had been taken by the time he attended the exhibition.It made him difficult to make concerns product information. We did not print enough amount of leaflet because we did not expect people took many of them. I suggest that we can put the leaflet online and hire some part-time staff to distribute them.

I am writing in response to your complaint. Thank you for bringing this matter to our attention.
I have checked the problems your mentioned in the letter.

For the first problem, the unworkable online registration system was caused by the overload server. In that period, there were too many people registering. We must apologize for this error. In future , we shall endeavor to upgrade our sever in order to enhance its capacity.

For the second problem,

We must apologize for the error we cause. As a gesture of our regret, we are prepared to give your free tickets for the future exhibition.
